Account Settings and Preferences
The Account Settings section in Yola allows users to update their personal information, such as avatar, name, preferred language, notification preferences, and manage aliases.
To access your Account Settings in Yola, follow these steps:
Click the profile icon in the bottom-left corner of the screen.
Select Account Settings from the popover menu.
In the Account Settings page, you can update the following details:
Avatar: Upload or change your profile picture.
First and Last Name: Update your personal name.
Preferred Language: Select your default language for the platform.
Enable Browser Notifications: Toggle browser notifications on or off.
Your email address is also displayed but cannot be edited.
User Aliases
Aliases allow users to communicate with customers using an alternative name, keeping their private account name hidden. This is especially useful for agents who wish to maintain professionalism while interacting with customers.
Create an Alias
In the User Aliases section, click the + icon.
A pop-up window will appear. Fill out the following fields:
Avatar: Upload an image for the alias.
Alias Name: Enter the desired display name.
Email Signature Name and Content: Customise the email signature for this alias.
Click Create to finalise your alias.
Optional: Tick the checkbox for Set as default if you want the alias to be your primary identity for communication.
Users can have either zero or one default alias. If a user already has a default alias and selects another one as default, the previous default alias will be automatically deselected.
The Account Settings section in Yola allows you to personalise your account preferences and manage your profile. This includes updating personal information, adjusting notification preferences, and setting user-specific configurations. You can access these settings via the User Profile Menu.
Accessing the User Profile Menu
To open the User Profile Menu, click on your avatar or initials located in the bottom-left corner of the interface.
Set Status
Online: Select this to show availability for handling conversations and other activities and to get chats auto-assigned to you.
Away: Mark yourself as unavailable, which may affect chat assignment based on your company’s rules. You can still manually assign chats to you while you're set as Away.
Change Theme
Switch between:
System (matches your operating system's theme).
Light Mode: For a brighter interface.
Dark Mode: For a darker, less straining interface.
Managing Account Settings
Clicking Account Settings on this menu, will allow you to change your profile information, enable notifications and manage your aliases.
Update Profile Information
Avatar: Update your profile picture.
First and Last Name: Edit your name as displayed across the platform.
Email Address: View your registered email (this cannot be changed).
Preferred Language: Set your default language for the platform.
Browser Notifications
Enable or disable browser notifications to stay updated on new messages or system alerts.
Manage Your Aliases
Create and manage aliases that allow you to chat with customers using a different name.
Create an Alias: Click the + Add Alias button. Upload an avatar, set the alias display name, and configure email signature details. Click Create.
Set Default Alias: Tick the checkbox for "Set as default" to make the alias your default identity.
Edit/Delete Alias: Hover over an alias to edit it or delete it. Confirm deletions via the pop-up prompt.
Note: Users can only have one default alias at a time. Setting a new default will deselect the previous one.
Important Notes
Status Impact:
Changing your status to Away may affect chat assignments depending on your company's configuration (e.g., Balanced, Random, or Round Robin).
Alias Limitations:
You can have multiple aliases but only one default alias active at any time.
Notifications:
Ensure browser permissions allow notifications to take full advantage of the notification feature.
Themes:
Switching themes can improve your user experience based on your working environment or personal preference.
This combination of User Profile Menu and the Account Settings Page allows you to manage your account effectively and personalise the interface to suit your preferences.
Edit or Delete an Alias
To edit an alias: Hover over the alias and click the edit icon.
To delete an alias: Click the cross icon within the alias, then confirm your choice in the pop-up window.
